During our minor User Interfaces and User Experience Design we have worked on a project for Mirabeau. They challenged us to improve their current onboarding process by designing a remote onboarding tool that is focused on human interaction.
In the following months we have spoken to our target group and also a few professionals who provided feedback that was applicable to our project. By talking to them, we came to valuable insights that led us to several concepts.
Our goal was to create an onboarding tool that offers onboarders a space where they can connect with other colleagues on a personal level. But also prepare them on what they could expect on their first working days. In addition to that we want to introduce them to the corporate culture and also the way of working.
Based on the user needs we have chosen three concepts and decided later on to combine elements of these concepts into our final concept. This is how we developed a concept focused on giving onboarders a sense of belonging within the corporate but also guiding them through their onboarding process by providing informative content. In this case study you could read more about our design process and how we came up with Connection Tea.
During the research phase, we conducted a wide range of deskresearch. We also have been in contact with various Mirabeau employees who have shared their insights with us in interviews. Based on the interviews and deskresearch, we developed a Customer Journey, Statement Cards and Design Principles. These have enabled us to develop various concepts that meet the needs of the user and the design question of the client.

Then, in order to make a final decision, we had the input from the target group and so we made a decision.
On Your Desk is a tool that supports the onboarder in finding available colleagues who have the time to answer questions. This lowers the threshold for asking for help and allows the onboarder to work independently again.
Connection Tea is a welcome pack that onboarders receive after signing their contract. With this they can prepare themselves for their new job at Mirabeau by scanning the QR-code on the tea labels. They receive information on four themes, namely colleagues, corporate culture, projects and practical matters.
QuestionAway is an environment where onboarders can go with their problems. The colleagues sitting on the couch provide solutions to the problems by creating creative content that is uploaded in the same environment. This ensures that future onboarders no longer encounter the same problem.

The concept encourages the user to take more initiative by providing the onboarder with information. As a result, the onboarder does not have to take a wait-and-see attitude because the onboarder already has some knowledge.
The onboarder is supported by receiving information about the various themes in advance. The information is given by colleagues. By means of content such as vlogs, other people's experiences are shared which can support the onboarder during his own onboarding process.
You get to know people through content that gives you an idea of who can approach you. The threshold for approaching people becomes smaller because you already have an impression of your colleagues.
The onboarders can decide for themselves which themes they want to learn more about. The user can therefore control his own onboarding. Even more variation can be made in the concept.
After choosing a concept, we continued to develop the Question Away concept in combination with the On Your Desk concept. After doing a kill your darling we continued with the development of the Connection Tea. We had suffered a delay so it was important to speed up. The Connection Tea consists of two parts, namely a welcome pack and an application. We first determined what the different functionalities should be. We did this on the basis of the created job stories. A flowchart was then created to show the flow of the concept. This gave guidelines for the concept so that we could decide how we wanted to proceed. We regularly asked for feedback from our coach, who gave us tips and helped us on our way. In addition, we tested our wireframes and applied iterations based on them. Our contacts from Mirabeau have helped us to further develop the Connection Tea.
After the onboarder has compiled his profile, he will see the Connection Tea homepage. From the homepage, the onboarder can navigate through the entire application via the sticky menu at the bottom. In addition, the QR code scan button is located on the homepage and by placing it centrally on the home page we want to motivate the onboarder to use it.
Scan the QR codes of the included tea and learn more about Mirabeau. Each flavor of tea gives you information about a different work-related theme. With the Connection Tea application we help the onboarder to bond with the company before his first day of work.
You will find all tea labels and associated themes on the content page. You can view which tea labels you have already scanned and like your favorites. The content includes videos, infographics, blogs and podcasts. Something for everyone.
By discovering your interests, the connection tea application looks for colleagues with matching interests and values. The application takes your personal values into account. Test results have shown that this makes it easier for onboarders to make contact with their new colleagues.
With the help of the would you rather questions, the application playfully retrieves your personal values. The questions start lightly, but as you go further, the questions have more depth and are more on a professional level. As you complete the game, you'll also learn more about your colleagues and their interests.This way you get a better impression of Mirabeau for your first day at work.
Connection Tea helps onboarders to find the right colleagues who can support them during their onboarding. There is a list of contacts on the Colleagues page. These contacts are all colleagues of Mirabeau. You will find the interests, department and position of the colleague. Now you can independently search for the right person.
You no longer have to endlessly search for everything that needs to be arranged for your first day of work. All the tasks you need to have arranged for your onboarding can be found in the Connection Tea application. You will also receive additional support. There are links in the description of the tasks that can help you complete a task faster.
You have a good overview of the tasks still to be done and tasks that have already been completed. You can easily keep track of your progress using the progress bar. This way you can see at a glance how far you are in completing tasks.
